Share files safely at work

How you share a file decides who can reach it. A proper link beats an attachment and a private link beats a public one.

  1. Share through your company SharePoint or OneDrive link rather than emailing the file around.
  2. Set the link to specific people, not ’anyone with the link’, for anything sensitive.
  3. Check the sharing scope before you send — it’s easy to leave a link open to the whole organisation.
  4. Avoid sending confidential files to personal email addresses or random file-transfer sites.
  5. Remove access when a project ends or someone leaves, so old links don’t linger.
  6. If you receive a sharing link you didn’t expect, verify with the sender before opening it.
