Share files safely at work
How you share a file decides who can reach it. A proper link beats an attachment and a private link beats a public one.
- Share through your company SharePoint or OneDrive link rather than emailing the file around.
- Set the link to specific people, not ’anyone with the link’, for anything sensitive.
- Check the sharing scope before you send — it’s easy to leave a link open to the whole organisation.
- Avoid sending confidential files to personal email addresses or random file-transfer sites.
- Remove access when a project ends or someone leaves, so old links don’t linger.
- If you receive a sharing link you didn’t expect, verify with the sender before opening it.
