Control who outside the company can open a document

External sharing is powerful but easy to leave too open. Check and tighten a document’s links before and after you send them.

  1. Right-click the file and choose Manage access to see every link and person who has access.
  2. Remove any ’Anyone with the link’ sharing you didn’t intend, especially for sensitive files.
  3. Re-share to specific external people by name so only they can open it.
  4. Add an expiry date or password to external links where the option is offered.
  5. Review access again after a project ends and remove people who no longer need it.
  6. If external sharing is blocked or you need it opened up, that’s a tenant setting — contact whedo.it.
