Let someone manage my email or calendar for me

Delegate access lets a colleague read, send or manage your mail and calendar on your behalf. Choose the permission level carefully.

  1. In classic Outlook, go to File → Account Settings → Delegate Access, then Add and pick the person.
  2. Set their level for Calendar and Inbox — Reviewer reads, Editor changes, plus the option to let them send on your behalf.
  3. Decide whether they should see items marked Private, then save.
  4. To delegate just the calendar, open Calendar → Sharing → Share Calendar and set Can edit or Delegate.
  5. Tell the delegate to add your mailbox or calendar to their own Outlook so it appears.
  6. Review delegates occasionally and remove anyone who no longer needs access.
