Set up a rule to sort or filter my incoming mail

Rules move, flag or forward mail automatically as it arrives. Build them once and your inbox sorts itself.

  1. In Outlook, open the Settings gear (or in classic Outlook, the Rules option on the Home tab or File menu).
  2. Go to Mail → Rules → Add new rule.
  3. Give the rule a name, then choose a condition such as from a specific sender or a word in the subject.
  4. Choose an action — move to a folder, mark as read, flag or forward.
  5. Add exceptions if needed, then save; tick ’Run rule now’ if you want it applied to existing mail.
  6. Test by sending or waiting for a matching message, and adjust the condition if it catches too much.
