Understand archive vs delete, and find archived mail

Archiving clears your inbox but keeps the mail; deleting throws it away. Knowing the difference saves a panic later.

  1. Use Archive to move mail out of the inbox while keeping it searchable — nothing is lost.
  2. Use Delete only for mail you genuinely don’t need; it goes to Deleted Items and is purged later.
  3. Find archived mail in the Archive folder in your folder list, or by searching All Mailboxes.
  4. If you have an online Archive mailbox, it appears as a separate item lower in the folder list.
  5. Recover something deleted by mistake from Deleted Items, or ’Recover items recently removed’ soon after.
  6. Don’t rely on Deleted Items as storage — archive anything you want to keep.
